Synod Assembly - October 16-17, 2009

The next meeting of the Synod Assembly of the Synod of the Northeast will be Friday, October 16th through Saturday, October 17th at Stony Point Conference Center on Crickettown Road in Stony Point, New York.

This will be the fourth Synod Assembly in the new synod design. It will be an opportunity to meet at the same time in the same place as five Presbytery Partnership Groups, to worship together, to hear the “State of the Synod Report” from the Rev. Clint A. McCoy, Jr., Synod Executive for Partnerships, and Elder Mary Lynne Flowers, Synod Executive for Administration/Stated Clerk, Special Highlights include:
  • Byron Wade, Vice Moderator of the 218th General Assembly (2009), will join us for at least part of the Synod Assembly
  • The Synod Mission Design Team will be reporting their first round of recommendations for the period 2011-201
  • Installation of Stuart Buisch as Synod Moderator

Early registration for Youth Advisory Delegates and others authorized by the registrar to arrive early due to meeting schedules or travel restrictions will begin on Thursday, October 15th at noon. Assembly registration will be open beginning at 9:00am on Friday morning with lunch being served from noon to 12:55 pm. The Synod Assembly will convene with worship at 1:00pm. The Assembly is expected to conclude with lunch on Saturday, October 17th.

The Assembly will be considering changes to the Synod Personnel Policies. The proposed changes are included with these materials. Please read those materials carefully prior to the meeting.

Enclosed in this mailing are the Registration Form, YADs Medical Waiver, Synod’s Travel Policy, and directions to Stony Point Conference Center.

We will be distributing the final material for the Synod Assembly on or about October 3rd, New commissioners will receive a new three-ring binder at this Synod Assembly to keep your reports in. Binders will also be available for returning commissioners, if needed. Please organize your materials so that you can find them easily during the plenary session on Saturday morning.

Alternates
If a principal commissioner is unavailable, the alternate should attend. If you discover that you cannot attend, please notify the Stated Clerk of your presbytery, the alternate commissioner, and the Synod Registrar, Paula Terrell, as soon as possible at 315-446-5990 or 1-800-585-5881, so we can send them the materials they will need.

Travel
If you travel by air, it is very important that you read and understand the enclosed sheet entitled: Procedure for the Purchase of Airline Tickets to Synod Sponsored Meetings. A representative from Stony Point will pick you up at baggage claim.

If you travel by train, get off at Croton-Harmon. A representative from Stony Point will pick you up at the train station.

We encourage car-pooling as a way of keeping expenses to a minimum. The Synod will reimburse mileage at 40 cents per mile for automobile travel for one person; additional 2 cents per mile will be paid to the driver for each passenger up to 44 cents per mile All passengers must be listed on the expense voucher. Please consider car-pooling with others from your presbytery or from presbyteries through which you will travel. A list of Commissioners and Youth Advisory Delegates will be sent with the next mailing to facilitate sharing rides.

Rooms
We will be using the Stony Point Center to its capacity. Single rooms are available only for special circumstances at an extra cost to you. The cost for a single room can be deducted from your travel voucher. If you choose your own roommate, please indicate that on your registration form. Otherwise, the Registrar will assign rooms. Your room at Stony Point may not be available until 12:00pm, but you are still able to check-in before then to get your room key and registration materials.

Each room has a sink, twin beds, desk chairs, lamps and closets. The bathrooms are down the hall. Soap, washcloth, towel, hand-towel, and drinking cups are provided; hair dryers are not.

The Stony Point Center is composed of several buildings on a pleasant campus. The distances from one building to another are not great, but if you have difficulty walking, please state that on your registration form so that we can assign you to a room as close to the meeting rooms and dining room as possible. The buildings are handicap-accessible. Free wireless internet access is available at the Stony Point Center. Commissioners will be responsible for any personal faxes sent or received.
